Position Title:  Administrative Assistant III    Department: Data Entry


Job Classification: Full-time Non-Exempt


Accountable to: Speaker/ Directory


Position Summary:

The Administrative Assistant of Breath of Life assists the Manager and staff in office duties, processes donations in Raisers Edge database, maintains constituent information within the database, processes sales in CounterPoint, fulfills orders, assists with PR/marketing, and provides support and completion of various projects as needed by the ministry.

 

Authority & Accountability:

Authority as delegated by the Manager and directly responsible to the Manager.


Essential Position Functions:

  • Report directly to the Manager and BOL Speaker/Director
  • Open mail, process donations, fulfill requests, maintain donor records, and issue receipts for contributions in a prescribed manner
  • Interact with donors and handle donors and viewer requests
  • Fulfill other responsibilities and duties as assigned by the Manager
  • Provide materials and support for various public relations and marketing efforts
  • Exercises confidentiality at all times
  • Respond to routine and/or non-routine inquiries using already developed standardized formats
  • Maintain a well-organized and efficient filing system
  • Must be able to perform the specific position functions as listed below


Specific Position Functions:

  • Open, read, and code both donation and follow-up ministry mail
  • Enter names, donations, and offers into the database
  • Process credit card donations
  • Handle follow-up inquiries and requests
  • Process sales orders from website, mail, phone, camp meetings, or seminars in CounterPoint
  • Fulfill all sales and giveaway orders
  • Process requests from Adventist Information Ministry (AIM)
  • Fulfill requests for follow-up materials as needed
  • Oversee the accuracy of email databases
  • Answer phone calls and process requests
  • Other projects and duties as assigned by the Manager
  • Assist with travel and housing accommodations for BOL guests


Qualifications:

     

Education: Bachelor's Degree from an accredited college or university, and/or:

Experience: Equivalent Experience

Membership: An active member of the Seventh-day Adventist Church.

Skills, scope, and complexity of duties:

  • Experienced computer and internet skills
  • Knowledge of various software programs for completing duties
  • Exceptional organizational ability and attention to detail
  • Ability to exercise independent judgment, make decisions, and assume responsibility within the essential and specific position functions
  • Ability to competently compose letters and documents
  • Good personal relationship skills
  • Flexibility to adapt to urgent projects of unusual situations


Interpersonal Relationship

  • Within Ministry:
    • Speaker/Director
    • Manager
    • Breath of Life office staff and field representatives
    • Support services and all on-campus personnel
  • Outside Ministry:
    • Donors, clients, and contractors
    • AIM manager and employees
  • Principal Contact: Manager
  • Secondary Contact: Speaker/Director

Working Conditions and Physical Hazards

  • General working conditions of an office
  • Occasional travel required
  • Physical requirements: requires time at a computer or at a desk, with minimal standing, walking, reaching, climbing, and lifting (maximum of 50 lbs.)
  • Statistics:
    • 38 regular hours per week,
    • Requires occasional weekend work
    • Office clothing required
